Getting started with Kallli

This guide describes every screen in Kallli with the words on the buttons, for the evening you set up your page and for the question that comes back three months later. Everyone starts with “Creating your account and your workspace”; what comes next depends on your trade. The left-hand menu of your workspace has three sections, “Activity”, “Offering” and “Settings”, and each chapter says which one holds its screen.

1. Creating your account and your workspace

The account takes three fields, an email confirms the address, then a single settings screen opens your workspace. Allow five minutes.

  1. On kallli.be, click “Start free trial” at the top right. You land on the “Create your account” screen, which announces “14-day trial, no credit card.”
  2. Fill in “Your name”, “Email address” and “Password” (“12 characters minimum.”), then click “Create my account”. A password known from public leaks is refused with “This password appears in a known breach. Choose a different one.”
  3. Prefer an existing account? Under “or”, the buttons “Continue with Google” and “Continue with Microsoft” create the account without a password. If Google or Microsoft does not confirm your address, a verification link goes out by email and the login screen tells you so.
  4. After “Create my account”, the screen shows “Verify your email address before logging in.” Open the email “Confirm your email address” and click “Confirm my address”. The link is valid for 24 hours and opens your session straight away.
  5. Email not arriving? On the “Log in” screen, enter your details and click “Log in”: the message comes back with the button “Resend the verification email”. Once sent, the screen says “Email sent. Check your spam folder too.”
  6. The first login opens “Let's set up your platform” (“Four settings, and your booking page is ready.”). Under “What do you offer?”, tick “Booking” (appointments, workshops, packages) and/or “Shop” (sell items online). You need at least one; you can change this later.
  7. Fill in “Your business name” (the one your clients know) and “Your page address”: letters, numbers and hyphens, 3 to 60 characters. Under the field, “Your page will live at:” shows kallli.be/en/b/your-address. An address already in use returns “This address is already taken.”
  8. Choose the “Time zone” (Brussels is offered), tick the “Languages on your page” among Français, Nederlands, English and Deutsch, then the “Default language” among the ticked ones. The language you are reading the screen in is already ticked and cannot be the last one removed.
  9. Click “Save and continue”. You land on the dashboard; the left-hand menu is organised into “Activity”, “Offering” and “Settings”. Until this screen is confirmed, every login brings you back to it.

Notes

  • Your page address can be changed later, but the field warns: “old links will stop working”. Choose it before printing it on a card.
  • The business name offered at first is your own: Kallli creates the workspace in your name at sign-up and you rename it here.
  • “Forgotten your password?” on the login screen sends, with “Send the link”, a link valid for one hour. Details are in the chapter Account and security.

2. Setting up your services

A service is a name, a duration and a price your clients book online. The rest (deposit, image, category) is added when you need it.

  1. In the menu, section “Offering”, open “Services” (“What your clients can book.”). The empty page says “No services yet. Create the first one.” Click “New service”.
  2. “Name”: what the client reads in the list. If your page has several languages, tabs FR, NL, EN or DE appear above the field; a dot marks the ones already filled in. The name is required in every active language: otherwise the tab turns red with “The NL translation is required.” when saving.
  3. “Description” and “Category” follow the same logic per language. The category is there “To group services on your page.”
  4. “Duration” is picked from a list of 15 to 180 minutes (15, 20, 30, 45, 60, 75, 90, 120, 150, 180). “Price” is entered in euros, with a comma or a point.
  5. “Colour in the calendar”: six dots, the colour the appointment will take in the schedule. “Bookable online” is ticked at creation; unticked, the service is marked “Hidden” in the list and disappears from your public page.
  6. “Prepayment”: “None”, “Deposit” or “Full amount”. With “Deposit”, choose “Percentage” or “Fixed amount” and enter “Deposit amount”. The text under the buttons says: “Charged at booking once online payments are enabled.” (see the chapter Getting paid).
  7. “Cancellation or move allowed up to” a number of “hours before” (24 by default, 720 at most) and “Booking window” a number of “days ahead” (60 by default, 365 at most), “How far into the future your clients can book.”
  8. Click “Save”. You return to the list, which shows each service with its colour dot, its duration and its price.
  9. Reopen the service (“Edit service”) for the “Image” section, under the form: “Choose an image” accepts “PNG, JPEG or WebP, 1.5 MB maximum. Ideal: 1200 × 600 px, landscape.”; “Remove the image” takes it away. The section only exists after the first save.
  10. Who performs this service is set on each team member’s record, under “Services provided” (chapter Your team and its hours).
  11. To remove a service, open its record and click “Delete” at the bottom right: “Delete this service? Appointments already booked are not affected.”

Notes

  • A service you no longer offer but which still has appointments in the schedule: untick “Bookable online” rather than deleting it, it stays readable in the calendar.
  • A price left at 0 is saved: handy for a free first contact.

3. Your team and its hours

Every person your clients book has a record, a weekly schedule and time off. If you work alone, create your own record: without it, no slot can be booked.

  1. In the menu, section “Offering”, open “Team” (“The people your clients can book.”). The empty page says “Nobody yet. Add the first member.” Click “New member”.
  2. Fill in “Name”. “Email address” and “Phone” are optional. “Bio” is written per language and is “Shown on your booking page.”
  3. “Colour in the calendar”: six dots. “Languages spoken”: Français, Nederlands, English, Deutsch, “To point a client to the right person.” Ticked languages show abbreviated (FR NL) in the team list.
  4. “Services provided”: “Tick what this person can do.” This block only appears once you have created services; come back to it after the previous chapter.
  5. “Buffer around appointments”: minutes “before” and “after” each appointment, in steps of 5 and up to 120, “tidying, disinfection, notes”.
  6. “Bookable online” is ticked at creation; unticked, the person is marked “Hidden” in the list. Click “Save”.
  7. For the hours, reopen the record (“Edit member”) and click “Schedule” at the top right. The page “Schedule · Name” lists the days from Monday to Sunday; a day without a range shows “Closed”.
  8. On a day, click “Add a range”: a range from 09:00 to 17:00 appears, change both times. For a lunch break, place two ranges on the same day (09:00 to 12:00 then 13:00 to 17:00); the × to the right of a range removes it.
  9. Click “Save schedule”: the message “Schedule saved.” confirms. A range ending before it starts is refused: “Each range must end after it starts.”
  10. Further down, “Time off and blocks” (“Departures from the schedule: holidays, exceptional hours, blocked slots.”): choose “Time off (closed)”, “Exceptional hours” or “Blocked slot”, the dates “From” and “to”, the times for the last two kinds, a “Reason (optional)”, then “Add”. The button stays grey while the start date is empty; without an end date, the entry covers the start day only. Each entry in the list is removed with its × after “Delete this entry?”.
  11. To see this person’s appointments in their Google Calendar or Outlook, scroll down their record to “Calendar sync” and click “Connect Google Calendar” or “Connect Outlook”, one at a time. The message “Google Calendar connected.” or “Outlook connected.” confirms; “Disconnect” cuts the link. This section needs the Pro plan: below it, it shows “Calendar sync is available from the Pro plan.”
  12. To remove a person, open their record and click “Delete”: “Remove this member from the team?” If they carry appointments, Kallli refuses: “This person carries appointments. Hide them rather than delete them.”

Notes

  • A member is a schedule record: they receive no login details and you alone open the workspace.
  • A closure of the whole business (public holiday, annual leave) is set once for everyone in the chapter Closures and time off; “Time off (closed)” on the “Schedule” page applies to one person only.
  • The slots offered to your clients come from the person’s ranges, minus their entries, minus the business closures, minus the buffer around appointments.

4. Closures and time off

A closure applies to the whole business: it comes before everyone’s hours. One person’s time off is set on their “Schedule” page.

  1. In the menu, section “Settings”, open “Closures” (“Periods when the whole business is closed: they override each practitioner’s hours and time off.”). The empty page says “No closures planned.”
  2. Under the list, enter “From” and “To” (a single day: the same date twice), a “Reason (optional)” of 120 characters at most, then click “Add closure”. An end placed before the start is refused: “The end must come after the start.”
  3. Each closure shows its dates in full (“From 24 December 2026 to 2 January 2027”, or the single date for one day), the reason below, and a “Delete” button: “Remove this closure? The slots become bookable again.”

Notes

  • One person’s time off goes on their “Team” record, “Schedule” button, section “Time off and blocks”, kind “Time off (closed)”.
  • “Closures” only appears in the menu if the “Booking” product is enabled on your workspace.

5. The calendar day to day

The calendar is the screen you open in the morning and keep open. It reads in your business’s local time, and every gesture on the grid places, moves or removes something without going through a form.

  1. Open “Calendar” in the menu. At the top left, “Today” and the two arrows move the period forward or back; on the right, three views: “Day”, “Week”, “Month”. Alone, the calendar opens on the week; with several practitioners, it opens on the day, with one column per practitioner, each in their colour.
  2. The “Month” view counts the appointments of each day; tap a cell to open that day.
  3. To place an appointment with one tap, tap a free spot on the grid: the text “Tap a free spot to add an appointment” reminds you above it. The “New appointment” form opens in “Exact time” mode with the day, the time and the practitioner of the column already filled in. The “New appointment” button at the top right opens the same form.
  4. In “New appointment”, choose the “Service”, the “Practitioner”, the “Date” and the “Time”, to the minute. In “Exact time”, the appointment goes in even outside hours or in the past; only another appointment at the same time prevents it. The “Suggested slots” button switches to the slots Kallli calculates, with “No preference” as a possible practitioner.
  5. Choose the client: “Existing client” with the field “Search a name or email”, or “New client” with “First name”, “Last name”, then “Email” or “Phone” (either one will do) and their language. Add “Internal notes” if needed, then “Book”. The calendar returns to the day of the appointment.
  6. To move a confirmed appointment, grab it with the mouse and drag it to another time, another day or another practitioner’s column. With a finger, keep it pressed a moment before dragging. If the target falls outside the practitioner’s availability, Kallli asks “This time falls outside the practitioner’s availability. Move the appointment?”. The Escape key drops the appointment back where it was.
  7. To place a break, tap the “Break” button at the top of the grid: it becomes “Tap a slot”. Tap a free spot, then choose the duration, from “15 min” to “90 min”. With a finger, a long press on a free spot opens the same choice. Tap a break to remove it; Kallli asks “Remove this break? The slot becomes bookable again.”. You place breaks for every team member.
  8. Tap an appointment to open its record: status (“Confirmed”, “Pending”, “Completed”, “No-show”, “Cancelled”), “Date”, “Client” (the name leads to their record), “Practitioner”, “Price” and “Deposit paid:” if there is one, “Client notes” and “Internal notes”. At the bottom, “History” lists who did what and when, with “Before” and “After” for each move.
  9. Once the time has passed, the record asks “Did the client show up?”: “Showed up” or “No-show”. “No-show” asks for confirmation, because the client’s no-show counter goes up on their record. “Back to confirmed” undoes that choice.
  10. To reschedule, tap “Reschedule”: choose a date, a practitioner or “No preference”, a slot, then “Confirm reschedule”. The client receives an email with the new time.
  11. To cancel, tap “Cancel appointment”, give a “Reason (optional)”, then “Confirm cancellation”. The client receives a cancellation email and any deposit is refunded to them.

Notes

  • An appointment placed at a past time triggers no email to the client.
  • On a phone, the “Day” view with several practitioners shows one column at a time: the names above the grid act as a switch.
  • Taking over appointments from another tool goes through “Import appointments”, described in the chapter Coming from another tool.

6. Your customers

Every person who books with you has a record, with or without email. The list is searched by name, address or number, and exported to a file you take with you.

  1. Open “Customers” in the menu. The list is sorted by name, with the email or phone, the number of “Appointments”, the “No-shows” when there are any, and the “Blocked” badge where relevant. The field “Search a name, email or number” searches a number on its digits alone: “0470 12 34” finds “+32 470 12 34 56”.
  2. Tap “New client”: “First name”, “Last name”, “Email”, “Phone” (the text “Fill in at least the email or the phone number.” states the rule: either one will do), “Notification language”, “Internal notes”, the box “Accepted marketing”, then “Create client”.
  3. The record shows “Customer since” a date, their “Contact” details, their “Appointments” and “No-shows”, their appointment “History”. “Book appointment” opens “New appointment” with this client already chosen; “Edit” opens their details. “Internal notes” are saved with “Save”. “Block online booking” stops this client booking from your page (an appointment placed from the calendar remains possible); “Unblock” restores it.
  4. “Import (CSV)” brings your customer base over from a file, and “Import appointments” your upcoming appointments: both are described in the chapter Coming from another tool.
  5. “Export (CSV)” downloads your whole customer base, semicolon-separated, readable in Excel.

7. Coming from another tool

Two CSV imports bring over what you had elsewhere: your customers, then your upcoming appointments. The rest, we do with you.

  1. Export your customers from your previous tool, as CSV. In “Customers”, click “Import (CSV)”: the page says “CSV file with a header row: first name, last name, then email or phone, either one will do. If you have them: language, notes. Known records are skipped, your existing records stay untouched.” “Download the template” gives customers.csv to copy; pick your file in “CSV file”. It holds 1 MB at most.
  2. The report counts the records created, the records already known and skipped, the duplicates in the file and the invalid lines, each with “Line N:” and its reason: “missing or invalid email address”, “missing first or last name” or “no valid email address and no valid phone number”.
  3. Export your upcoming appointments. Under the customer import, the link “Import your upcoming appointments too” opens “Import appointments”, which the button of the same name also opens from the calendar. The page describes the format under “Expected format: one header row, then one appointment per row”: date (“2026-09-03, 03/09/2026 or 03.09.2026”), time (“14:30, 2:30 PM or 9h, in your business’s local time.”), duration, service, staff, customer, email, phone, note.
  4. Headers are read in the four languages, ignoring accents and case: date or datum; heure, time, uur or uhrzeit; prestation, dienst, service or leistung; praticien, medewerker, staff or mitarbeiter; client, klant, customer or kunde. A single debut, start or begin column carrying date and time together also works. The time is written 14:30, 14h30 or 14u30.
  5. The service and the staff member are matched by their name as written in Kallli, in any of your languages; the staff member can be left out if only one person offers the service. Without a service name, a duration matching exactly one service is enough. An existing customer record is reused, otherwise it is created.
  6. “Download the template” gives appointments.csv with two examples. Pick your file in “CSV file”: the preview lists each row with “When”, “Service”, “Staff”, “Customer” and “Outcome”, either “Ready” or the reason for refusal: “unreadable date or time”, “service not found”, “several services match”, “staff member not found”, “this staff member does not offer this service”, “overlaps an existing appointment”, “overlaps another row of the file”, “already past”. Nothing is written until you click “Import N appointments”.
  7. What is not brought over: past appointments (“Past appointments are skipped.”), your clients’ reviews and their payment history. Imported appointments are born confirmed, no email goes to the client, their reminders are scheduled like any other, and opening hours are not checked.
  8. If you are leaving another tool for Kallli, we are here to help you through: send your export to info@at-cg.be and we prepare the file with you, until your upcoming appointments are in your calendar.

Notes

  • A Planity or Salonkee export is not taken over in one click: Kallli reads a CSV file with the columns described above. Rename the headers of your export, or send it to us.
  • Import customers before appointments: the second import reuses the records that exist and only creates new ones for unknown people.

8. Your public page

Your booking page lives at a Kallli address, in your colours, in the languages you ticked. This chapter describes what you set and what the client sees on the other side.

  1. Your page is at kallli.be/<language>/b/<your-address>, the address chosen at sign-up under “Your page address”. You find it again in “Appearance”, section “Embed on your website”, in the code to copy.
  2. Open “Appearance” in the menu. Under “Logo”, “Choose a file” uploads a PNG, JPEG or WebP of 1.5 MB at most; “Remove logo” takes it away. On the Starter plan, the box says “A custom logo is available from the Pro plan.”. Under “Banner”, “Choose a banner” places the wide image at the top of your page, booking and shop.
  3. On the same page, “Colours” offers “Primary colour”, “Background”, “Text” and the “Button rounding” slider; “Reset to default colours” returns to Kallli’s turquoise. “Font” offers a few choices, “Standard” included. “Welcome texts” holds the “Welcome message”, the “Footer” and the “House terms”, each in every language of your page. Tap “Save”. The “Preview” on the right follows each change; “Preview language” switches its language.
  4. Further down, “Embed on your website” gives the code of an iframe to paste on your own site; “Copy the code” puts it on the clipboard. “Custom CSS” is reserved for the Business plan.
  5. “Custom domain” in the menu serves your page from your own address: enter “Your domain” then “Save”. Follow “1. Point your domain to Kallli” (a CNAME record at your DNS host) and “2. Prove the domain is yours” (a TXT record with the “Name” and “Value” shown), then tap “Verify” until you read “Domain verified and active.”. “Remove domain” returns to the Kallli address. This screen needs the Business plan, announced for later: until it is there, it shows “A custom domain is available on the Business plan.”.
  6. On the client’s side, booking fits in four steps on one page: “Service” (name, duration, price, image), “Practitioner” (“No preference” or a name; the step is skipped if only one person offers the service), “Date and time” (a calendar highlights the days with a free slot, then the times appear), “Your details” (“First name”, “Surname”, “Email address” required, “Phone”, “Note (optional)”, “Promo code (optional)” with “Apply”). The client taps “Confirm the appointment”. If you have written terms, the sentence “By booking, you accept the house terms” binds them.
  7. The client lands on “Appointment confirmed” with “Add to calendar”, “Move this appointment” and “Cancel this appointment”. They receive the email “Your appointment on {date}” with the button “Change or cancel”, then, before the time, “Reminder: your appointment at {businessName}” with the same link. Moving or cancelling online stays possible up to the delay set on the service (“Cancellation or move allowed up to N hours before”); beyond it, they read “The online cancellation window has passed. Contact {businessName}.”.

Notes

  • This address kallli.be/<language>/b/<your-address> is the one to put in your Instagram bio or on your Google listing: it is an ordinary link, with nothing to set in Kallli.
  • A client blocked from their record reads “Online booking is not available for this account. Please contact the business directly.”.
  • The public page requires an email address; a phone-only record is created from the calendar or by import.

9. Getting paid

Your clients’ money goes to your Mollie account, with no Kallli commission. Once the account is connected, each service decides whether it asks for a deposit, and a cancellation by the business refunds on its own.

  1. Open “Payments” in the menu. The “Mollie” box explains what the account allows: Bancontact, iDEAL, PayPal, cards. Tap “Connect Mollie”: Kallli sends you to Mollie to give your consent, then brings you back here with the message “Your Mollie account is connected.” and the “Account connected” badge. “Reconnect” runs the same journey again if needed.
  2. Set the deposit service by service, in “Services”: open the service, then under “Prepayment” choose “None”, “Deposit” or “Full amount”. For “Deposit”, choose “Percentage” or “Fixed amount” and fill in “Deposit amount”. The field “Cancellation or move allowed up to N hours before” sets the delay within which the client can still cancel or move online. Save the service.
  3. On the client’s side, when the service asks for a deposit and Mollie is connected, the “Confirm the appointment” button sends them to the Mollie payment page. On return, they read “Appointment confirmed”; if Mollie has not answered yet, the page shows “Your payment is being confirmed. Reload this page in a moment.”. Without Mollie connected, the same service is booked without payment.
  4. Until the deposit is paid, the appointment is “Pending” in your calendar. The client has fifteen minutes; past that, the slot is freed and the appointment history notes “released the slot, the deposit was not paid in time”. Once paid, the appointment record shows “Deposit paid:” with the amount.
  5. To refund, just cancel from the appointment record: “Cancel appointment”, then “Confirm cancellation”. The box says it: “The client will receive a cancellation email. Any deposit is refunded.”. The refund goes to the client’s payment method with no further action from you. A client who cancels themselves within the delay is refunded the same way.

Notes

  • An appointment still “Pending” that you cancel refunds nothing: the open Mollie payment is closed and the client receives no email, since nothing had been promised to them.
  • A promo code applied at booking reduces the price; a gift card can cover all or part of the deposit (see the chapter Gift cards and promo codes).

10. Workshops and packages

A workshop is a series on fixed dates: the client registers once and comes to every session. Packages, bundles of sessions sold on the public page, have no creation screen in your workspace: this chapter covers workshops.

  1. Open “Workshops” in the menu, section “Offering”, then click “New workshop”.
  2. Fill in “Workshop name” and “Description” in every language of your page, then “Price per person” and “Seats for the series”. Tick “Visible on your page” and click “Save”. You land on the workshop record.
  3. In the “Sessions” section, choose “Date”, “Start”, “End” and “Led by”, then click “Add a session”. Each session blocks the chosen practitioner’s calendar. A session in the past is refused, and the end time must come after the start time.
  4. The counter at the top of the record, “3 / 8 seats” for example, tracks registrations. As soon as a visible workshop has an upcoming session, your public page shows the tile “Join a workshop”. The client clicks “Register”, chooses “Number of seats”, gives first name, last name, email, phone, then clicks “Confirm registration”. They receive an email.
  5. In the “Registrations” section, the “Cancel registration” button releases the seats and notifies the client by email. The row stays in the list, struck through.
  6. On a session, “Delete” removes a date with no registrant. “Cancel session” frees the practitioner’s slot and notifies registrants by email. A session carrying registrations cannot be deleted: cancel it.
  7. The “Delete” button at the bottom of the record erases the workshop. Kallli refuses while active registrations remain.

Notes

  • Lowering “Seats for the series” below the seats already taken is refused.
  • A tattoo flash day is set up as a workshop with a single session: the number of seats is the number of slots.

11. Gift cards and promo codes

A gift card is created at the counter or sold online, then redeemed with you or in the shop. A promo code reduces a booking or an order.

  1. Open “Gift cards” in the menu, section “Offering”. The page opens on “Redeem a voucher”, the gesture of every visit, then on “New card”.
  2. To sell a card at the counter: enter “Amount (€)”, if needed “Expiry date (optional)” and “Internal note (optional)”, then click “Create the card”. The code shows once under “Hand this code to the client:”. Copy it before leaving the page.
  3. For online sales: your public page shows “Give a gift voucher” in the footer and the tile “Give a voucher” as soon as your Mollie account is connected. The buyer chooses “An amount”, “A service” or “An item”, fills in “Your name”, “Your email”, “Recipient name”, “Recipient email”, a word to go with it, the date “Send the card on”, then clicks “Pay and give”. The recipient receives their code by email on the chosen date; the buyer receives their receipt as soon as payment clears.
  4. To redeem at the counter: type the code in “Voucher code” and click “Search”. The balance shows with the state of the card. For a value voucher, enter “Amount to take (€)” or click “The whole balance”, add a “Note (optional)”, then click “Redeem”. The message “Redemption recorded” gives what is left.
  5. For a named voucher, service or item, the only button is “Mark as used”: the voucher goes in one go, whatever the price on the day. Under each voucher, “Latest movements” lists the issue, the orders and the redemptions. “Redeem another voucher” clears the field.
  6. In the shop, the client enters their code themselves in “Promo code or gift card” then “Apply”: the amount comes off the basket.
  7. In the list of cards, each row shows the balance over the amount issued. “Deactivate” blocks the code, “Activate” reopens it, “Delete” erases it; Kallli warns if a balance remains.
  8. Promo codes: open “Promo codes” in the menu, then “New code”. Enter “Code”, choose “Scope” (“Bookings and shop”, “Bookings” or “Shop”), “Type” (“Percentage” or “Fixed amount”), the value in “Discount (%)” or “Discount (€)”, then if needed “Minimum amount (€)”, “Number of uses”, “From” and “Until”. Click “Create the code”.
  9. The client types the code at booking in “Promo code (optional)” then “Apply”, or in the shop in “Promo code or gift card”. The list counts the uses; “Deactivate”, “Activate” and “Delete” manage each code.

Notes

  • A named voucher covers the promised service even if its price changes later, and the price stays hidden from the recipient.
  • Creation at the counter only makes value vouchers; named vouchers come from online sales.
  • A deleted code stays readable on the orders that used it.

12. The shop

The shop sells your items online, for pickup on site or by shipping. It is a product apart from booking, with its own price in the subscription.

  1. Enable the shop. It is ticked when the account is opened, under “What do you offer?”, or later in “Subscription” with “Subscribe to the shop”. Without it, “Shop” is missing from the menu.
  2. Open “Shop” in the menu, section “Offering”, then click “New item”. Fill in “Name” and “Description” in every language, “Price”, “VAT” (21, 12, 6 or 0 %), “Stock”, choose a “Category” if you have any, tick “Visible in your shop” and click “Save”.
  3. On the item record, “Images” section: click “Add an image”. Six PNG, JPEG or WebP images of 1.5 MB at most; the first carries the “Thumbnail” label and is used in the shop. “Remove” takes an image away.
  4. “Variants” section for a size, a colour or a volume: enter “Label”, an “Own price” if the price differs from the item, “Stock”, then click “Add variant”. Once a variant exists, stock is managed line by line: change a line and click “Save”, or “Delete”.
  5. Click “Categories” at the top of the shop. Under “New category”, give a “Name” per language, choose “Attachment” (“Top level category” or an existing category to create a subcategory) and click “Create the category”. Each line is reordered with “Move up” and “Move down”, changed with “Rename”, erased with “Delete”.
  6. Click “Delivery settings”. Pickup on site is offered to every client. Tick “Offer shipping” to open “Shipping fee (€)” and “Free shipping from (€)”, empty if you do not offer it. Tick “Allow payment on site” if the client can settle at the counter when collecting. Click “Save”.
  7. On the client’s side, the tile “Discover the shop” appears on your page as soon as an item is visible. The client clicks “Add to basket”, then “View basket”, chooses “Pickup on site” or “Shipping”, enters a code in “Promo code or gift card”, chooses “Online” or “On site, at pickup”, and clicks “Place the order”.
  8. Open “Orders” in the menu, section “Activity”. Each row shows the date, the client, the number of items, “Pickup” or “Shipping”, the status and the total. Click an order for its record.
  9. On the record: “Mark as paid” for an order to be settled on site; “Mark as shipped” opens “Carrier” and “Tracking number”, then “Confirm shipment”; “Mark as handed over” closes the order. “Cancel the order” puts the stock back on sale; “Cancel and refund” refunds the client as well.

Notes

  • The stock of an item with variants is the sum of the variants; the list shows “Out of stock” at zero.
  • The tracking number becomes a link at bpost and the other known carriers.
  • A cancelled order stays readable, as does a deleted item on past orders.

13. Reminders and messages

Kallli writes to your clients at booking, before the appointment, at cancellation and at rescheduling. You choose the moments, you can rewrite the texts, and a log keeps every message sent.

  1. Open “Booking” in the menu, section “Settings”. Under “Reminders before the appointment”, click the moments you want, “1 d before” or “2 h before” for example, two at most. Each ticked moment shows its channel, “Email”. Also set “Minimum booking notice” in hours, then click “Save”.
  2. SMS reminders are ready, but the option is not open for now: the “SMS” and “Both” choices and the “SMS top-ups” panel do not appear. The day it opens, SMS are bought as top-ups of 100 to 1000 messages on the “Subscription” page, and credits never expire.
  3. Open “Email templates” in the menu, from the Pro plan. Six emails unfold: “Booking confirmation”, “Reminder”, “Cancellation”, “Reschedule”, “Review request”, “No-show follow-up”. For each, write “Subject” and “Message body” in the languages of your page; a language left empty keeps the standard template, shown below under “Standard template:”. Use the variables {name}, {businessName}, {date}, {time} and {url}, replaced at send time.
  4. Click “Save” under the block. A rewritten template carries the “Customised” label; “Back to the standard template” erases it in every language after confirmation.
  5. Open “Notifications” in the menu, section “Activity”: the last 100 messages, email and SMS, with the recipient, the date, the type (“Reminder 24 h before”, “Booking confirmation”, “New booking (to you)”…) and the status “Sent”, “Failed” or “Queued”. A failure shows the error message.

Notes

  • An appointment taken at the counter for a time already past triggers no confirmation.
  • The emails of the shop, the workshops and the gift cards are not rewritten in “Email templates”.

14. Statistics

One page, your last thirty days, four figures and two lists.

  1. Open “Statistics” in the menu, section “Activity”. Four cards sum up the last 30 days: “Appointments”, “Estimated revenue”, “New customers” and “No-show rate”.
  2. The “Appointments per day” chart shows the volume day by day, and “Most booked services” ranks your services by number of appointments.
  3. The revenue is “Estimated on completed appointments, before discounts.”: it follows what you mark “Showed up” or “No-show” on each appointment record.

Notes

  • With no appointment over the period, the page shows “No data yet.”.

15. Account and security

Your sign-in methods, two-step verification, connected devices, the subscription and its invoices, the export of your customers and API access.

  1. Open “Sign-in” in the menu, section “Settings”. The first list shows your ways in: Google, Microsoft and “Password”. The “Remove” button next to the password is only active if another method is linked.
  2. To change your password, go through the login screen: click “Forgotten your password?”, enter your address and click “Send the link”. The link opens “New password”; twelve characters at least, then “Save”.
  3. “Two-step verification” section: enter “Your password” and click “Turn on”; an account that signs in through Google or Microsoft, without a password, sees only the “Turn on” button. Scan the code with your authenticator app, or enter the key shown under “Without a camera, enter this key:”. Type the “Code shown by the app” and click “Confirm”. Write down “Your backup codes”, shown only once, then click “Written down”.
  4. At the next login, Kallli asks for the “Six-digit code” then “Verify”; without a phone, “Use a backup code”. To turn the second step off, enter your password (the account without a password has only the button) and click “Turn off”.
  5. “Open sessions” section: each connected device appears with its opening date and its address; yours carries “This device”. Click “Sign out” on a row, or “Sign out everywhere” then “Sign out” to close all the others.
  6. Open “Subscription”. Under “Billing details”, click “Edit”, fill in “Legal name”, “Company number”, “VAT number”, “Address”, “Postal code”, “City”, “Country” and click “Save”. Without these details, no subscription can be opened.
  7. Under “Current plan”, read your status and the due date. Under “Choose a plan”, choose “Monthly” or “Yearly”, then click “Subscribe” on the Starter or Pro card and confirm with “Confirm”: the Mollie payment page opens. Business shows “Coming soon”. For a first subscription, a “Promo code” entered then “Apply” reduces the first payment.
  8. To leave: “Cancel subscription” then “Confirm cancellation”. Your features stay active until the end of the paid period. The shop is subscribed to and cancelled separately with “Subscribe to the shop” and “Cancel the shop”. Under “Invoices”, each invoice is read with “Download”; it also goes out through the Peppol network.
  9. To take your data with you, open “Customers” and click “Export (CSV)”: the file opens in Excel with your customer records.
  10. Open “API and webhooks”, reserved for the Business plan. Give the key a name and click “Create a key”; copy it straight away, it will not be shown again. “Revoke” cuts a key. Under “Webhooks”, enter “Destination URL (https)”, tick the “Events” (booking.created, booking.cancelled, booking.rescheduled, order.paid, order.shipped, order.cancelled) and click “Add the webhook”; copy the secret shown once. Each webhook is paused with “Disable” and erased with “Delete”.

Notes

  • Keep a session open in another browser while you turn on the second step: otherwise the backup codes would be the only way in.
  • A refused charge keeps your features for fourteen days, with the message “Your last charge failed.”.

16. Frequently asked questions

Forgotten your password?

On the login screen, click “Forgotten your password?”, enter your address and click “Send the link”. The link received opens “New password”; twelve characters at least, then “Save”. A password present in a known breach is refused.

A client without email?

The customer record accepts a phone alone: “Fill in at least the email or the phone number.”. In “Customers”, the field “Search a name, email or number” finds the record by phone. Without an address, the client receives neither confirmation nor reminder emails.

Moving an appointment?

Open its record from the calendar, click “Reschedule”, choose the new slot and click “Confirm reschedule”: the client receives an email with the new time. In the “Day” view, you can also drag the appointment to another time or another column; outside availability, Kallli asks “This time falls outside the practitioner’s availability. Move the appointment?”.

Refunding?

On the appointment record, “Cancel appointment” then “Confirm cancellation”: “The client will receive a cancellation email. Any deposit is refunded.”. For an order paid online, “Cancel and refund” on its record refunds the client and puts the stock back on sale.

Changing plan?

In “Subscription”, under “Change plan”, choose “Monthly” or “Yearly”, click “Subscribe” on the new card and confirm with “Confirm”. The new plan takes effect at the end of the period already paid; nothing is charged today.

Leaving Kallli and taking your data?

In “Customers”, click “Export (CSV)” to download your records. In “Subscription”, click “Cancel subscription” then “Confirm cancellation”: your features stay active until the end of the paid period.

I am coming from Planity or Salonkee, what happens?

Kallli does not connect to those tools: it reads a CSV file. Export your customers, then your upcoming appointments, and follow the chapter Coming from another tool: “Import (CSV)” in “Customers”, then “Import appointments”. If the file resists, send your export to info@at-cg.be: we prepare it with you until your upcoming appointments are in your calendar.

Two practitioners at the same time?

Add each person in “Team” with “New member” and tick on their record the services they provide. The “Day” view of the calendar shows one column per practitioner, and the client picks their practitioner at booking, or “No preference”.

The shop alone, without booking?

When opening the account, under “What do you offer?”, tick “Shop” alone. The subscription then bills the shop only. In “Subscription”, “Cancel the shop” stays blocked while it is your only active product.

The deposit?

On each service, “Prepayment” is “None”, “Deposit” or “Full amount”; for a deposit, choose “Fixed amount” or “Percentage” and “Deposit amount”. First connect your account in “Payments” with “Connect Mollie”. The client clicks “Confirm the appointment” and pays the deposit on the Mollie payment page. The money goes to you, with no commission.

The reminder that does not arrive?

Open “Notifications”: the reminder’s row carries “Sent”, “Failed” with the error, or “Queued”. If it is missing, check in “Booking” that the moment is ticked under “Reminders before the appointment” and that the customer record has an email address. SMS reminders do not go out while the option is not open. The log keeps the last 100 messages: an older reminder has left the list, even though it went out.
